Operations
Workshop management from the shelf to the customer's phone.
For an after-sales operation, RomanoECS runs the stores, the floor and the customer on one record: stock that moves only by a movement with a reason and a name, job cards worked on phones and scans, and every car's history under its chassis number. Your customers follow their job on your own app, and every conversation stays on the record it is about.
Stores
Inventory your storekeeper will actually trust.
Nobody edits a quantity by hand. Every change is a movement with a reason, a name and an accounting entry behind it.
One page for the whole store. A drawn floor map coloured by quantity, value, days since the last count or walk cost. Click a shelf and see the rack level by level. Held, recalled, below reorder, expiring and negative stock each come with the button that fixes them.
Shelf by shelf
Count a little every week.
Valuable and fast-moving parts most often, planned to your capacity, counted from the phone while work carries on. Record accuracy is measured per class, and a pick during a count is never mistaken for a variance.
Slotting by metres walked.
It shows how far your people walk to pick each part on the real floor plan, and fixes a bad home with one transfer draft.
Real cost, not list cost.
Every receipt re-computes the weighted average, and freight and customs are spread onto the parts. Every cost carries a stamp: confirmed by the supplier's invoice, still an estimate, or opening.
Lots, expiry and serial numbers.
Oldest out first, then nearest expiry. A serial-tracked part can't move without naming its units, so you know which battery went into which car.
Recalls that reach cars already fitted.
One command shows the units on the shelf, fitted and sold, holds the stock and messages the customers affected.
Transfers with a document and a trail.
Bin to bin, warehouse to warehouse, branch to branch. Stock on the road stays visible, and late journeys are flagged.
Every screen agrees on “available”.
On hand, minus reservations, minus stock held, expired or recalled.
Workshop materials are real stock.
Oil, gas and tape carry their real cost, not a hidden expense.
On the phone
Scan the part. Scan the shelf. Done.
- Scan the partThe maker's barcode on the box, a house label, a lot or a serial.
- Scan the shelfThe shelf it goes on.
- PostedThe transfer posts as a movement, with the name of whoever moved it.
The store workspace, built for the phone. Receiving inspection with accepted and rejected quantities, reasons and photos. Picking, counting, transfers by scanning the part then the shelf, and unit labels printed and stuck.
It keeps working when the Wi-Fi doesn't. Picks, counts, transfers and inspections save on the phone and post exactly once when the signal returns. The few actions that need the server say why instead of failing.
One scan box. A shelf label, the maker's barcode on the box, a part number or a serial.
The floor
The floor runs on phones and scans, not paper.
- Owner
- Technician
- Store
- Inspector
The workshop board on the wall. Who is on which car, and what is late, in red. Customer names hidden.
Intake from the phone. Photos, damage marked on a diagram, fuel, odometer and the customer's signature. Next visit only the new marks stand out, so the argument at handover ends.
Parts asked for at the car.
The technician requests from the phone, the storekeeper walks a pick list, and the handover is signed with two scans.
Hours measured, not estimated.
Technicians clock onto the job line from their phone, a team lead or a QR kiosk. Utilisation, efficiency and productivity are the industry's standard ratios.
A final check before handover.
A tap-through checklist where every item passes or fails, signed with the team lead's badge. While it runs the card is frozen for the inspector, and a failed check sends the car back to the floor.
Outsourced work stays on the card.
Towing, denting and calibration, with their cost and the vendor's obligation, so sublets don't eat the margin.
Paint, inside RomanoECS.
For bodyshops: from paint code to formula to a weighed pour, read from the scale and charged to the job at actual cost.
The floor kit
We ship the floor. Plug it in, scan a badge, work.
Everything carries a code.
- Staff badges
- Shelf labels
- Bin labels
- Unit labels
- Job cards
- The windscreen card
The windscreen card rides on the arrival briefing. One scan pipeline reads every code, on a phone or a kiosk.
In the box
The kiosk kit.
Sealed, paired to your system and managed remotely. The work runs on your system, not on the box.
The sealed kiosk unitBoots straight into RomanoECS, ready to scan.
The scannerReads every badge, job card and label the floor carries.
The wall board screenThe floor by team, late work in red, where everyone can see it.
Zebra label printingShelf, bin and unit labels on thermal printers, previewed before they print.

The car's whole life
The chassis number is the file. Not the owner's name.
One car, one history
Chassis number
- The owner brought it
- Then the insurer
- Then the new owner
Still one record, not three incomplete ones.
The arrival briefing, one page, ready to print. What is due, open work, the last check-in condition, what they put off and the parts wearing out, in the advisor's hand before the customer is at the desk. A capped list always says what it left out.
Keeping the customer
Quotations the customer answers line by line.
In Arabic and English. What they asked for is kept apart from what you found, with two totals. A postponed line becomes a date, by the calendar or the kilometres, whichever comes first, and the car returns to the call list the day it is really due.
Who is slipping away, in money.
Unsold work per customer, an at-risk list judged on each car's own service clock with one tap to call, and retention by the dealer definition.
Campaigns with consent.
Consent per channel, STOP honoured in English or Arabic, and results tracked through replies, bookings, visits and revenue.
The work around the car
Insurance work done right.
The surveyor's approvals kept line by line as a ledger, the invoice netting exactly to what the insurer approved, and the repair window tracked with every pause noted.
Your own service plans and warranties.
Service, inspection or wash entitlements with revenue spread over the term, each one redeemed by a QR scan, and the loss ratio in view.
If you buy and sell cars.
Reconditioning cost lands on the car, and trade-ins, deposits and consignment are handled, so every car in stock shows its margin at the asking price.
Your customers' app
Give every customer a private line to your workshop.
Your brand, not ours
- Your name
- Your icon
- Their home screen
The app carries the workshop's name and icon, and installs on the customer's home screen.
Signs in with a code on WhatsApp. No password to forget.
Their car's progress, step by step. The quotation to approve or put off line by line, the work they put off with its due date, and booking requests, all without a phone call.
Their whole history. Every car, every visit, every invoice, their statement, their warranties and service plans, and the next service date.
Never shown to the customer
- Your cost
- Your margin
- Your staff's names
Tested, not promised.
Every conversation
Every conversation, kept on the record it's about.
On one job card
- Staff comments
The parts conversation, on the job it's for. A price request goes to suppliers by WhatsApp or email from the job card, their replies come back threaded onto it, and the team talks it through right there.
Each advisor sends from their own paired WhatsApp number, or from the company line.
Chats with a customer are recorded on that customer's record, not left only in the advisor's phone.
New numbers become leads.
Someone who messages the business for the first time lands in a lead inbox, ready to answer and convert.
Documents go out from the document.
Quotations, invoices, statements and reminders as bilingual PDFs by WhatsApp or email, and every send is logged.
Supplier mail sorted from one inbox.
Replies read into prices on the request they answer, and supplier email that matches no request sorted in one place.
Talk to colleagues on the record.
Comments, mentions and attachments on the documents themselves, a personal inbox of threads and mentions, and live notifications on desk and phone.
A team mailbox for everything else.
General email lives in the same place as the work.
